What Is Gym Membership Renewal Rate?

Gym membership renewal rate is the percentage of memberships reaching expiry during a period that are renewed. If 80 memberships are due during a month and 60 members renew, the renewal rate is 75%. It measures what happened at the renewal point rather than using the gym's entire active member base.

Membership renewal rate formula

Renewal Rate = Renewed Memberships ÷ Memberships Due for Renewal × 100.

Example: 80 memberships were due and 60 renewed. The calculation is 60 ÷ 80 × 100 = 75%.

Define the period and the meaning of 'renewed' consistently. A membership should normally count when the member commits to the next paid period according to the gym's real records, not merely when a reminder is sent.

Why renewal rate matters

Renewal is the point where an expiring membership either continues or lapses, so the rate connects directly to recurring membership revenue. It also exposes operational gaps: missed expiry dates, late follow-up, unclear plan choices, or payments that were received but not recorded.

Use the rate to compare your own process across consistent periods. Do not treat an unsupported industry average as a target when gyms may calculate the metric differently.

Renewal rate versus retention rate

Renewal rate looks only at memberships that reached their renewal point during the period. Retention rate usually looks at how much of the starting member base remains at the end, after accounting for members lost and sometimes new members depending on the formula used.

The two measures are related but not identical. A gym can improve renewal follow-up for memberships due this month while still having a wider retention problem among members whose attendance is fading before expiry.

How to improve gym membership renewal rate

  • Keep a reliable list of memberships due over the next 7, 15, and 30 days.
  • Start personal follow-up before expiry and change the tone after expiry.
  • Use attendance context to identify members who may need a conversation, not just a payment reminder.
  • Make the plan, amount, and payment route clear.
  • Record every reply, payment, decline, and next action so the due list stays accurate.

How GymNudge helps

GymNudge tracks renewal dates, surfaces due and expired memberships, prepares personalised WhatsApp reminders, and opens WhatsApp so staff can review and send them. It also records cash or UPI outcomes and follow-up status. GymNudge does not automatically send messages through the WhatsApp API and does not process payments as a gateway.

Frequently asked questions

How do I calculate renewal rate?

Divide the number of memberships renewed by the number that came up for renewal in the period, then multiply by 100. Renewing 40 of 50 expiring memberships is an 80% renewal rate.

Is renewal rate the same as retention rate?

No. Renewal rate measures what share of memberships due for renewal were renewed. Retention rate measures how much of a member base remained over a period, using a separately defined formula.

Should new members be included in renewal rate?

No, unless their memberships also reached the defined renewal point during the period. The denominator should be memberships that were actually due for renewal.
